Description

Writing Requirements Specifications with AI: Structure, Draft and Review

Use generative AI to produce a usable requirements specification without losing control of the underlying need

  • 0.43 days — 3 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Requirements specifications are often written under time pressure from incomplete meeting notes. Needs are expressed as solutions rather than as needs, requirements cannot be verified, and suppliers submit proposals that miss the point. Generative AI promises faster drafting but tends to produce a polished document that nobody can actually use.

Three hours online putting an AI assistant to work on a requirements specification: gathering the raw material, structuring the document, writing verifiable requirements and reviewing the output critically. This short format alternates drafting guidance with immediate production work on a project brought by each participant.

Learning objectives

  • Gather the necessary material before any AI-assisted drafting
  • Structure a requirements specification into usable sections
  • Write verifiable functional requirements
  • Draft precise instructions for a generative AI assistant
  • Review the generated text and correct imprecise wording

What makes this programme different

Each participant leaves with the outline of their own requirements specification
Instructions given to the assistant are written and tested during the session
Dedicated time to identify wording that cannot be verified

Programme

1Preparing the material

The assistant cannot guess the need

  • Collect the requirement from end users
  • Distinguish between need, constraint and solution
  • Assemble the technical and organisational context
  • Identify the stakeholders to consult

2Drafting with the assistant

Instructions, structure and iterations

  • Choose the structure of the document
  • Write precise instructions for the assistant
  • Produce the sections through successive iterations
  • Have an imprecise requirement reworded
  • Keep a record of the choices made

3Reviewing and finalising

Read it the way a supplier will

  • Check that every requirement is measurable
  • Spot vague wording and contradictions
  • Remove unnecessary content generated by the tool
  • Prepare the evaluation grid for supplier responses

Who is it for

Project managers, business owners, buyers and executive assistants responsible for formalising a need before approaching suppliers.
