Description

Difficult Situations at Reception: Handling Tension, Responding and Protecting Yourself

A half-day to acquire simple reference points when facing tense visitors at the front desk

  • 0.5 days — 3.5 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

The reception desk concentrates tension while leaving very little room for manoeuvre. A visitor arrives without an appointment, the queue grows longer, the request does not fall within the department's remit and the rule seems absurd to the person subject to it. The receptionist absorbs it all, searches for the right words, then moves on to the next visitor without a moment to breathe.

A tightly focused half-day on the three most frequent situations at the desk: the visitor in a hurry, the out-of-scope request and the challenge to a rule. Welcoming and refusal phrases are written down and then said out loud, and every participant leaves with a one-page aide-mémoire.

Learning objectives

  • Identify the reception situations that most often escalate
  • Receive the expression of dissatisfaction without taking it personally
  • Formulate a clear response when a request falls outside the remit of reception
  • Hand over to the right contact person or to the supervisor
  • Return to duty after a tense exchange
