Description

Purchasing Negotiation: Decoding Buyers, Building Arguments and Holding Your Terms

Understand how procurement departments operate so you no longer give way to their demands for concessions

  • 2 days — 14 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Facing a professional buyer changes the ground entirely for a salesperson. Across the table sits someone trained in negotiation, measured on the savings they secure and able to call an approved-supplier status into question. The techniques that work with an end user then turn against the seller.

These two days are built from the perspective of the seller dealing with procurement. Participants discover how a procurement department evaluates and ranks its suppliers, recognise the tactics used in meetings and build arguments aligned with the buyer's criteria. They practise responding to a request for quotation and defending their commercial terms.

Learning objectives

  • Describe how a procurement department works and the criteria used to evaluate a supplier
  • Recognise the tactics used by buyers during negotiation meetings
  • Build an argument aligned with the buyer's decision criteria
  • Respond to a request for quotation while protecting your commercial terms
  • Prepare an annual business review and negotiate renewal terms

What makes this programme different

The session presents the tools procurement departments actually use to rank their suppliers
Participants practise against a counterpart playing a well-prepared buyer rather than an accommodating client
A response to a request for quotation is reworked so that it withstands line-by-line comparison

Programme

1Understanding the Procurement Function

Getting inside the logic of the person across the table

  • Remit, objectives and performance indicators of a procurement department
  • Supplier portfolio segmentation and levels of dependency
  • Supplier approval and qualification processes
  • The relative weight of price, risk and performance in the decision

2Tactics and Counter-Tactics

Recognising what is really happening in the meeting

  • Price pressure through real or implied competition
  • Challenging approved-supplier status and threatening a new tender
  • Unbundling the offer and comparing it line by line
  • Role-play between the buyer and the internal requester
  • Possible responses that do not damage the relationship

3Building Your Argument

Speaking the language of decision criteria

  • Translating the offer into total cost of ownership
  • Arguments on security of supply and quality
  • Demonstrating the value of associated services and of the ability to meet commitments
  • Preparing trade-offs that your own organisation can accept

4Tenders and Annual Reviews

Handling the meetings that decide the year

  • Reading a specification document and identifying the decisive criteria
  • Building a response that is difficult to compare on price alone
  • Preparing the annual review and handling requests for recurring savings
  • Negotiating logistics conditions and payment terms
  • Maintaining the relationship between two negotiations
