Description

Process Owner: Mapping, Indicator-Based Steering and Improvement

Take ownership of a cross-functional process and improve it with indicators that are genuinely useful

  • 2 days — 14 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Being appointed process owner often comes without an instruction manual: a process sheet to keep up to date, inherited indicators nobody looks at, and limited authority over contributors who do not report to you. The process runs on habit, issues are settled in corridor conversations, and the annual review is prepared the night before.

Two days to establish the role: process scope and interfaces, inputs and outputs, selecting indicators that trigger decisions, running the process review and addressing performance gaps. Each participant works on the process they are responsible for.

Learning objectives

  • Define the scope of a process and its interfaces with other processes
  • Formalise inputs, activities and expected deliverables
  • Build a short set of indicators linked to process objectives
  • Run a process review and formalise its decisions
  • Address identified gaps and monitor improvement actions

What makes this programme different

Each participant maps their own process and leaves with a completed process sheet
Interfaces between processes are worked through by comparing participants' own descriptions
A process review is role-played using quantified data supplied during the session

Programme

1The Process Owner Role

A cross-functional role without line authority

  • Position the process owner among the stakeholders of the quality approach
  • Distinguish between process owner and department manager
  • Clarify your mandate and your scope for decision-making
  • Secure contributions from people who do not report to you

2Mapping the Process

Setting out what actually happens

  • Define where the process starts and where it ends
  • List the inputs and the deliverables
  • Identify internal customers and their expectations
  • Represent the flow without going into the detail of work instructions
  • Pinpoint sensitive interfaces with other processes

3Steering Through Indicators

Few indicators, but indicators that serve a purpose

  • Link indicators to the objectives of the process
  • Distinguish outcome indicators from operational indicators
  • Define the source, the frequency and the owner of each measure
  • Set thresholds that trigger action
  • Present results in a readable format

4Driving and Improving

Keeping the process alive between reviews

  • Prepare the process review and its supporting pack
  • Run the review and formalise the decisions
  • Analyse gaps and reported malfunctions
  • Select actions and monitor their effectiveness
  • Report to senior management

Who is it for

Newly appointed process owners, together with department managers and quality managers supporting the roll-out of a process-based approach.
