Description

Excel — Payroll Cost Modelling: Build, Simulate and Steer Your Workforce Cost Dashboards

Two days to build a payroll cost model that recalculates itself instead of being rebuilt every month

  • 2 days — 14 h
  • In-person or virtual
  • Intermediate
  • Up to 6 participants

The payroll cost tracking file has been carried over year after year. Formulas point to deleted tabs, headcount no longer reconciles with payroll, and every request from management control means re-keying data. The figure arrives late and the discussion shifts to the method rather than the results.

These 14 hours are devoted to building spreadsheet models. Participants convert a payroll extract into a usable flat database, build a model broken down by cost driver, automate workforce dashboards with PivotTables, then put in place the controls that flag an anomaly before the file is circulated.

Learning objectives

  • Structure a payroll extract into a database usable in a spreadsheet
  • Model the breakdown of payroll costs by driver in a recalculable workbook
  • Automate a workforce dashboard using PivotTables
  • Set up consistency checks that flag variances before circulation
  • Build a budget simulation driven by clearly isolated assumptions

What makes this programme different

A model workbook built step by step from an anonymised payroll extract
Every assumption isolated in a dedicated tab so a budget can be re-run in minutes
Formula errors identified on a deliberately faulty file

Programme

1Preparing payroll data

Extraction, cleaning and database set-up

  • Selecting the pay elements and periods to extract
  • Moving from a reporting table to a flat database
  • Handling duplicates, joiners and leavers
  • Mapping table between the payroll structure and the management structure

2Modelling payroll costs

Drivers and assumptions in a workbook

  • Strict separation of data, assumptions and results
  • Building headcount, structure and carry-over effects
  • Projection formulas and handling of partial months
  • Documenting the model for whoever takes it over

3Automating dashboards

PivotTables and reporting

  • PivotTables applied to a payroll database
  • Lookup functions and handling of missing values
  • Charts that read clearly for an executive committee
  • Conditional formatting used as an alert mechanism

4Securing and circulating the file

Controls, versions and commentary

  • Consistency checks between headcount, pay and employer costs
  • Locking cells and protecting calculation tabs
  • Version control and file access rights
  • Writing the commentary that accompanies the figures

Who is it for

HR controllers · payroll managers · HR managers and officers responsible for budget monitoring of compensation.

Prerequisites

Regular use of a spreadsheet and familiarity with basic payroll concepts.
