Description

Legal Document Archiving: Classification, Security and Access Control

Retrieve the right legal document in seconds and keep full control over who can access it

  • 0.29 days — 2 h
  • In-person or virtual
  • Intermediate
  • Up to 6 participants

A legal department produces and receives documents whose value depends entirely on how they are kept. Original contracts, board minutes, powers of attorney, litigation files: when the folder structure has grown case by case, nobody can say with certainty which version prevails or who has access to what. On the day of an audit or a dispute, searching becomes costly.

These two hours provide a classification method that can be applied to an existing legal records base. Classification plan, naming conventions, retention periods and access rights are addressed together. Each participant leaves with a classification plan template to adapt to their own department.

Learning objectives

  • Build a classification plan suited to the main families of legal documents
  • Define naming conventions and version control rules
  • Set a retention period for each category of document
  • Organise access rights according to user needs
  • Prepare the migration of an existing document base

What makes this programme different

The classification plan is built from the document families brought by the participants
Retention of paper originals is addressed alongside that of electronic files
The session closes with a ready-to-complete access rights matrix
