Description

Advanced Word: Structuring Long Documents, Automating and Securing Layout

Take back control of a large report without the layout breaking every time you add content

  • 3 days — 21 h
  • In-person or virtual
  • Intermediate
  • Up to 6 participants

A long document always ends up escaping its author: numbering that jumps, styles applied by hand, tables of contents to rebuild and images that shift as soon as a paragraph is inserted. Every review cycle costs hours of reformatting instead of focusing on substance.

Three days to approach Word through its underlying logic of structure. The programme starts with styles and document hierarchy, then covers automatic numbering, generated tables, fields and mail merge, before moving on to collaborative reviewing and reusable templates.

Learning objectives

  • Structure a long document using hierarchical styles
  • Automate the numbering of headings, tables and figures
  • Generate and update tables of contents, indexes and tables of figures
  • Build reusable standard documents from templates
  • Produce a mail merge including conditional fields
  • Organise the collaborative review of a large document

What makes this programme different

A large manually formatted report is reworked live in session through to a fully structured version
Each participant leaves with a Word template aligned with their own document standards
The most common layout failures are reproduced and then repaired

Programme

1Long Document Structure and Styles

Everything starts with the heading hierarchy

  • Build a hierarchy of heading and body text styles
  • Modify and chain styles to eliminate manual formatting
  • Navigate and reorganise the document using the navigation pane
  • Clean up an inherited document with inconsistent formatting

2Numbering, Pagination and Tables

Cross-references that update themselves

  • Link multilevel numbering to heading styles
  • Split the document into sections and manage distinct headers
  • Caption tables and figures with cross-references
  • Generate the table of contents, table of figures and index

3Objects in Long Documents and Advanced Layout

Placing elements without breaking the flow

  • Anchor and wrap images so they do not shift unexpectedly
  • Build long tables with repeating header rows
  • Insert linked objects from a spreadsheet workbook
  • Control page breaks and keep paragraphs together

4Templates, Fields and Mail Merge

Automating whatever repeats

  • Create a template with styles, building blocks and document properties
  • Insert fields for variable information
  • Prepare a clean data source for mail merge
  • Use conditional fields in a standard letter

5Collaborative Working and Finalisation

Reviewing as a team without losing the document

  • Track changes and arbitrate comments
  • Compare and merge several versions of the same document
  • Protect selected parts of the document against editing
  • Prepare the final version for printing or distribution
