Description

Sustainable Events: Designing, Sourcing and Measuring Impact

Deliver a professional event that is consistent with your organisation's environmental commitments

  • 1 day — 7 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

A seminar or exhibition generates travel, catering, printing and single-use materials. Organisers are now expected to justify these choices, yet they often lack practical benchmarks for balancing attendee comfort, budget control and impact reduction.

One day to review every component of an event and decide what can be removed, reduced, shared or replaced. Participants build a criteria grid for selecting suppliers and a tracking table to report results once the event is over.

Learning objectives

  • Identify the main impact areas of a professional event
  • Weigh up options for venue, catering and transport
  • Draft environmental criteria that can be used in a supplier consultation
  • Organise the second life of materials and unused supplies
  • Report results to stakeholders

What makes this programme different

Each participant works on an event they genuinely have to organise
A supplier consultation grid is drafted and taken away at the end of the day
Trade-offs are discussed with the AED budget in hand rather than in principle

Programme

1Mapping the impacts

Knowing where the real stakes lie

  • Review each component of an event, from travel to giveaways
  • Rank components according to their actual weight
  • Distinguish visible actions from effective ones
  • Set achievable targets for the next event

2Designing and sourcing

Turning intentions into supplier choices

  • Select a venue based on accessibility and facilities
  • Frame catering arrangements and limit food waste
  • Draft environmental requirements within the consultation documents
  • Compare offers without focusing on price alone

3Engaging people and reporting

Bringing participants on board, then measuring

  • Inform participants before, during and after the event
  • Organise sorting, recovery and donation of materials
  • Collect relevant data from suppliers
  • Write a report that senior management can read easily

Who is it for

Event coordinators, executive assistants, communication managers and anyone responsible for organising seminars or exhibitions.
