Description

Workshop Facilitation: Designing the Flow, Leading the Group and Reaching Decisions

Get a group to produce real output in half a day instead of adding yet another meeting that goes nowhere

  • 2 days — 14 h
  • In-person or virtual
  • Intermediate
  • Up to 6 participants

Bringing ten people into a room does not produce a decision. The same voices speak, the others wait for the end, and the workshop closes on a list of ideas that nobody picks up. The facilitator improvises the flow, gets drawn into the content and loses control of the clock. Meanwhile, the sponsor was expecting a usable output.

Two days to design a flow that starts from the expected deliverable, select working formats suited to each objective, hold your stance with difficult participants and close on decisions that are recorded. Every participant facilitates a sequence in front of the group.

Learning objectives

  • Define the brief with the sponsor before designing the workshop
  • Build a timed flow that leads to the expected deliverable
  • Select a production format suited to the objective of each sequence
  • Hold the facilitator stance without intervening on content
  • Close on recorded decisions and clearly assigned follow-up actions

What makes this programme different

A scoping grid completed on a workshop you genuinely have to facilitate
A set of production formats tested live over the two days
One sequence facilitated by each participant with group feedback on stance

Programme

1Scoping Before Facilitating

The brief determines the flow

  • Clarify the question put to the group and the expected deliverable
  • Check that the topic is genuinely open to collective decision
  • Select the participants and the level of prior information
  • Agree what will be done with the outputs after the workshop

2Designing the Flow

Divergence, convergence and timing

  • Sequence opening, production, convergence and closing
  • Balance individual work, sub-groups and plenary time
  • Select a format according to the objective: generate, prioritise or decide
  • Plan variants if the group is slower or larger than expected

3Facilitating and Holding Your Stance

Stay on process and let go of content

  • Set the working frame and the ground rules at the opening
  • Give an instruction the group can act on without ten reformulations
  • Manage the participant who dominates and the one who disengages
  • Keep to time without cutting off work in progress
  • Stay neutral on substance even when you hold a view

4Harvesting and Closing

From displayed output to a decision that is followed through

  • Drive convergence without settling for a weak consensus
  • Formalise decisions, owners and deadlines during the session
  • Write up the outputs in a reusable form
  • Organise follow-up and reporting back to the sponsor
