Description

Collaborative Digital Tools: Organising, Sharing and Tracking Team Work

Bringing order to the files, messages and tasks a team shares day to day

  • 2 days — 14 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Collaborative tools have multiplied without any agreed rules of use. The same document circulates in five versions by email, decisions get lost in discussion threads and nobody knows where to find the current information. The tools are not the problem: what is missing are the team's working conventions.

Two days to establish clear practices: what is stored where, which channel for which type of exchange, how to track project tasks and how to co-write a document without losing the thread. Every participant leaves with written ways of working for their own team.

Learning objectives

  • Select the appropriate channel for each type of professional exchange
  • Organise a shared file space and its naming conventions
  • Co-write a document without losing track of versions
  • Track the progress of project tasks in a shared tool
  • Formalise common rules of use for the team

What makes this programme different

Team working rules drafted and agreed during the programme
Hands-on practice in a workspace created for the session
An impartial comparison of the main families of tools

Programme

1Mapping Current Practices

Which channel for what

  • Distinguish between email, instant messaging and project workspaces
  • Identify exchanges that do not belong in a message
  • Spot duplicated and unused tools
  • Set rules on availability and response times

2Sharing Files

One version is the reference

  • Build a folder structure everyone can understand
  • Define naming and version control conventions
  • Manage access rights and external sharing
  • Retrieve a document quickly
  • Archive without cluttering the working space

3Producing Together

Co-writing without getting in the way

  • Work on the same document with several contributors
  • Use comments and suggestions rather than email
  • Track changes and revert to an earlier version
  • Finalise a collaborative document before circulating it

4Managing Tasks

Making work visible

  • Create a shared tracking board
  • Describe a task so that it is understood without explanation
  • Assign owner, deadline and status
  • Run a progress review from the board
  • Avoid duplicate data entry across tools
