Description

Personal Knowledge Management and AI: Capture, Organise and Reuse Your Working Knowledge

Build a personal system in which information read once remains findable and reusable on the day it matters

  • 0.43 days — 3 h
  • In-person or virtual
  • Intermediate
  • Up to 6 participants

Notes pile up across applications, articles are saved and then forgotten, and meeting records stay buried in mailboxes. The result: the same content is read again week after week and analyses already completed are rebuilt from scratch. The arrival of generative assistants amplifies the problem by producing even more text to sort.

In three hours online, this workshop sets out the architecture of a personal knowledge management system supported by AI: what to capture and what to let go, how to name and link notes, and how to query your own knowledge base rather than starting from a blank page.

Learning objectives

  • Define the information flows worth capturing and the criteria for letting content go
  • Structure a base of linked notes rather than a tree of folders
  • Write atomic notes that can be reused across several contexts
  • Query your personal knowledge base using a generative assistant
  • Set a review routine that keeps the system alive

What makes this programme different

Each participant leaves with a written folder structure and naming conventions
The workshop runs on the participant's real notes rather than a fictitious data set
A weekly sorting routine is calibrated to the time genuinely available

Programme

1Framing your knowledge system

Deciding what deserves to be kept

  • Review of current sources and where information is lost
  • Distinction between reference archive and working material
  • Explicit capture criteria and criteria for letting go
  • Choice of the core tool and the role of satellite tools

2Structuring and linking notes

Writing for your future self

  • Atomic notes titled as statements
  • Links between notes and thematic entry notes
  • Naming and tagging conventions that hold up over time
  • Breaking long documents into reusable units

3Putting AI to work on your knowledge base

Moving from searching to questioning

  • Prompts for cross-cutting synthesis across several notes
  • Checking outputs and preserving original references
  • Weekly review routine and pruning
