Description

Purchasing in Practice: Running the Enquiry, Comparing Bids and Placing the Order

Run a purchase from end to end with the professional practices expected at every stage

  • 2 days — 14 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Many people buy without ever having run a complete process: a requirement is expressed, a price is requested and an order is placed. The intermediate stages are missing, comparisons remain approximate and the terms obtained are never recorded. The day a decision has to be justified or the file reopened, nothing is usable.

Two days devoted entirely to practice: every stage of the purchasing process is worked through on a single case study running across the programme, from capturing the requirement to following up the order. The programme focuses on practical actions and documents rather than concepts, and complements a more theoretical view of the procurement function.

Learning objectives

  • Work through the stages of a complete purchasing process
  • Capture and formalise a requirement with an internal stakeholder
  • Run a supplier enquiry and analyse the bids received
  • Negotiate terms and formalise the order
  • Follow up the order through to delivery acceptance
  • Build a traceable purchasing file that can be reused

What makes this programme different

A single case study is run from requirement capture through to delivery acceptance
Each stage produces a document that can be used directly on the job
The documents produced are reviewed and challenged by the other participants

Programme

1Capturing the Requirement

The starting point for the whole file

  • Conducting the requirement-gathering meeting with the internal stakeholder
  • Reformulating the requirement into verifiable specifications
  • Checking the available budget and the expected timeline
  • Building the purchasing file and its supporting documents

2Approaching the Market

Inviting the right suppliers

  • Identifying and shortlisting the suppliers to approach
  • Drafting the request for quotation and its annexes
  • Setting the rules and deadlines for bid submission
  • Answering supplier questions without breaching equal treatment

3Analysing and Negotiating

Compare first, then discuss

  • Building a bid analysis matrix
  • Normalising bids to make them genuinely comparable
  • Preparing the points to negotiate with the preferred supplier
  • Conducting the negotiation meeting and closing it

4Ordering and Follow-Up

Through to compliant delivery

  • Issuing the order and its execution terms
  • Tracking progress and chasing where necessary
  • Checking delivery acceptance and handling discrepancies
  • Closing the file and evaluating the supplier

Who is it for

Junior buyers and supply planners as well as anyone required to run purchases as part of their role.
