Description

Time Management: Planning Your Week, Limiting Interruptions and Meeting Deadlines

End your days on what matters rather than on whatever landed in your inbox

  • 2 days — 14 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

The working day fills up with whatever arrives: messages, calls and last-minute requests. Substantive work keeps being pushed back and the task list grows longer without ever emptying. By the end of the week comes the feeling of having been very busy without having moved forward on what really counts.

Two days to separate the urgent from the important, plan a week that allows for the unexpected, reduce interruptions and process your message flow. Each participant builds their own working method from their real tasks and the constraints of their role.

Learning objectives

  • Analyse how your time is actually spent over one week
  • Classify tasks according to their importance and their deadline
  • Plan a week while reserving time for the unexpected
  • Reduce interruptions and avoidable demands
  • Process your inbox according to a stable rule

What makes this programme different

A record of your actual use of time, analysed during the session
A weekly plan built with your own tasks
Message-handling rules that can be applied as soon as the programme ends

Programme

1Where the Time Goes

Observe before organising

  • Recording how your time is actually spent over several days
  • Identifying the activities that take longer than expected
  • Distinguishing chosen time from imposed time
  • Your own habits: postponement, perfectionism or scattered attention

2Sorting and Deciding

Not everything carries the same value

  • Separating the important from the urgent in a real task list
  • Breaking a heavy task down into workable steps
  • Deciding not to do something and standing by it
  • Handling requests that arrive with no clear deadline

3Planning Your Week

A plan that withstands the unexpected

  • Setting deadlines first, then blocks for substantive work
  • Reserving a margin for the unexpected
  • Grouping tasks of the same nature
  • Keeping a single tool for both tasks and appointments

4Keeping the Pace

Interruptions, messages and demands

  • Limiting interruptions and returning to work afterwards
  • Processing your inbox with a stable rule
  • Saying no or deferring a request without creating conflict
  • Running an end-of-week review and adjusting your organisation

Who is it for

Anyone wishing to organise their daily work, in particular administrative assistants, technicians, project officers and new joiners
