Description

General and Facility Services Procurement: Scoping, Tendering and Contracting

Structure indirect purchases too often handled under pressure and negotiated without a proper scope of work

  • 2 days — 14 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Cleaning, reception, maintenance and manpower supply are commissioned as needs arise, usually with the same providers renewed out of habit. The requirement is never written down, offers cannot be compared, and quality gaps are settled over the phone with no written record. When a contract is challenged, nobody holds the evidence needed to assess objectively what was actually delivered.

These two days bring structure to the process. Participants learn to formalise a service requirement, build a tender that makes offers genuinely comparable, negotiate on the levers that matter for recurring services, then manage delivery through service commitments and regular review meetings.

Learning objectives

  • Map indirect and facility spend and identify the key stakes
  • Draft a workable scope of work for a service contract
  • Build a tender pack and a comparison grid for offers
  • Conduct negotiations using the levers specific to recurring services
  • Formalise service commitments and the associated monitoring arrangements
  • Organise provider performance management and contract reviews

What makes this programme different

Drafting a service scope of work based on a real requirement brought by the participant
An offer evaluation grid built during the session and ready to use on return to work
A provider monitoring framework with control points and review meetings
