A poorly constructed business document costs everyone time. The reader searches for what is expected of them, follows up to obtain a missing detail and postpones the reply. The causes are almost always the same: an objective that was never stated, a structure that follows the chronology of the file rather than the logic of the reader, and long sentences in which the request simply dissolves.

Three days to overhaul everyday written output. Participants work on their own documents and leave with ready-to-use structures for emails, memos and minutes, together with a proofreading method.

2Structuring

A structure that leads to the expected response

  • Build a structure according to the type of document
  • Place the key message from the opening lines
  • Use headings and paragraphs as signposts
  • State the request or conclusion explicitly

3Everyday Documents

Emails, memos and minutes

  • Write an email subject line that announces the content
  • Build a request email and a reply email
  • Draft an internal memo or information note
  • Produce accurate and usable meeting minutes
  • Choose appropriate opening and closing formulations

4Clarifying Your Style

Sentences understood at first reading

  • Shorten sentences and limit subordinate clauses
  • Favour the active voice and precise verbs
  • Remove jargon and unexplained acronyms
  • Adapt the tone to the relationship and the stakes
  • Handle a sensitive request without bluntness or evasion

5Proofreading and Correcting

The final filter before sending

  • Proofread by separating substance from form
  • Check consistency between subject line, structure and conclusion

Teaching methods

Assessment
Multiple-choice tests and role-play exercises. Assessment of learning at the start and end of the programme, with immediate and 60-day follow-up evaluations.
After the programme
One year of access to the e-learning platform. Self-assessment of the skills acquired and a 30-day follow-up session with your trainer.
