Description

Collaborative Writing: Choosing the Right Channel, Writing Concisely and Recording Decisions

Writing effectively in the instant messaging platforms and shared workspaces used every day

  • 0.43 days — 3 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Professional exchanges are shifting towards instant messaging platforms and shared workspaces. Email conventions no longer apply there, yet nothing has genuinely replaced them: overlong messages, unreadable threads, misjudged tone and decisions lost in the middle of a conversation.

Three hours to adopt clear guidelines for each channel, write short and readable messages and leave a usable record of the decisions taken. You work on examples drawn from your own working tools.

Learning objectives

  • Select the channel suited to the nature of the message
  • Write a short and immediately actionable message
  • Adjust tone and level of formality to suit the recipient
  • Leave a clear record of the decisions taken within a discussion thread

What makes this programme different

Tone guidelines for exchanges with senior management and with clients
Thread management rules that prevent unreadable conversations
Short message templates for the most frequent requests

Programme

1The Right Message on the Right Channel

Every tool has its purpose

  • Distinguish what belongs in an email from an instant message or a shared workspace
  • Take into account urgency and the level of traceability expected
  • Respect recipients' working hours and availability
  • Avoid duplicating the same information across several tools

2Writing Short and Readable Messages

A clear request in three lines

  • State the request in the very first line
  • Keep messages short and split them where necessary
  • Use mentions, lists and formatting with restraint
  • Calibrate the use of emojis and abbreviations to the context

3Keeping the Conversation Usable

Finding a decision again three weeks later

  • Open a dedicated thread for each topic
  • Summarise a discussion that is dragging on
  • Formalise the decision and the person accountable for it
  • Transfer the information to the appropriate reference space

Who is it for

Anyone using a professional instant messaging platform or a shared workspace on a daily basis.
