Description

Concise Emails: Prioritise Information, Write Short, Drive Action

Write professional messages that are read in full and followed by the response you expect

  • 0.43 days — 3 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Inboxes are overflowing and long messages go unanswered. A vague subject line, a request buried in the third paragraph or an ever-growing list of recipients is enough to delay a decision and trigger a chain of follow-ups.

Three hours online to relearn how to prioritise information, lead with what matters and state clearly what you expect. Participants rework their own messages and build a set of reusable templates for their recurring correspondence.

Learning objectives

  • Write a subject line that signals the content and the level of urgency
  • Place the request and the key information at the top of the message
  • Shorten a message without losing useful information
  • Select recipients and use the copy field appropriately
  • Build reusable templates for recurring correspondence

What makes this programme different

The messages reworked are the ones participants actually send
A halving exercise is carried out on every message brought to the session
Three reusable templates are produced during the session

Programme

1Setting the intention

Know why you are writing before you write

  • Identify the action expected from the recipient
  • Write an explicit subject line, with a date where relevant
  • Select recipients and use the copy field appropriately
  • Decide whether email is the right channel

2Structuring and trimming

Put the essentials at the top

  • Open with the request or the conclusion
  • Organise the body of the message into readable blocks
  • Remove filler phrases and repetition
  • Use lists and emphasis sparingly

3Handling sensitive cases

Writing briefly without sounding blunt

  • Phrase a refusal or a follow-up courteously
  • Deliver unwelcome news in writing
  • Respond to an aggressive message
  • Build templates for recurring correspondence
