Description

Project Dashboards and AI: Collect, Automate and Validate Your Reporting

Have an assistant produce your tracking tables and progress summaries without losing control of the figures

  • 1 day — 7 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

Project reporting is often assembled at the end of the week. Extracts are copied across, variances recalculated, then the same comment is rewritten for three different audiences. More time goes into producing the table than into analysing it, and a single copy-paste error is enough to distort a decision.

Seven hours to put an artificial intelligence assistant to work on that chain. Tracking data is prepared, visuals are generated and the progress commentary is drafted, then everything produced is verified. The day focuses on automating the dashboard, not on selecting indicators.

Learning objectives

  • Structure tracking data so that an assistant can work with it
  • Write precise instructions to obtain a useful table or chart
  • Generate a progress commentary from the variances observed
  • Verify the output and identify calculation or interpretation errors
  • Define which data must not be shared with an external tool

What makes this programme different

Every participant leaves with their own dashboard, built during the day
Effective instructions are captured in a reusable prompt notebook
A full session is devoted to the errors the assistant produces and how to detect them

Programme

1Preparing tracking data

Without clean data the assistant gets it wrong

  • Bringing together the project's tracking sources
  • Cleaning and structuring a data extract
  • Identifying confidential data to be excluded
  • Clarifying what the recipient of the table actually needs

2Generating tables and visuals

Ask precisely to obtain something useful

  • Writing an instruction that specifies the expected format
  • Obtaining a progress chart and a variance tracker
  • Iterating on the output to refine it
  • Building a notebook of reusable instructions

3Commenting and verifying

Keeping control of the figures

  • Generating a progress commentary from the variances
  • Adapting the level of detail to the recipient
  • Checking the calculations and the statements produced
  • Recording what was generated and what was corrected

Who is it for

Project managers, project support officers and team leaders who regularly produce written progress reports.

Prerequisites

Ability to use a spreadsheet and day-to-day experience of tracking a project.
