Description

Quick Meetings and Stand-Up Briefings: Prepare, Facilitate and Decide Fast

Run short meetings on the shop floor that produce decisions rather than open-ended discussion

  • 1 day — 7 h
  • In-person or virtual
  • Foundation
  • Up to 6 participants

The daily huddle was meant to last ten minutes: it runs for thirty, turns into a round-the-table update and ends without a single decision. Participants check their phones, in-depth topics find their way in and the facilitator answers every question alone. The result is predictable: teams disengage from the ritual and real issues surface through other channels, or not at all.

One day to master the short format: meeting structure | topic selection | visual board used directly at the workstation | handling blocking points and escalating to the next level. Each participant facilitates several filmed quick meetings and receives immediate feedback on how the session was run.

Learning objectives

  • Structure a short meeting with a fixed running order and controlled timing
  • Select the topics that belong in the short format and redirect the others
  • Use a visual board that can be read and updated directly at the workstation
  • Run the session so that every item ends with a decision or a named owner
  • Organise the escalation of topics that go beyond the team's remit

What makes this programme different

Each participant facilitates several filmed short meetings, then reviews them sequence by sequence
The visual facilitation board is built during the session for each participant's own scope
The classic round-the-table pitfalls are triggered deliberately so they can be handled live

Programme

1The format and its rules

Why a short meeting is not a shortened meeting

  • Distinguish the short meeting from a working session and from a top-down briefing
  • Set the place, the time, the duration and the participants
  • Select the topics that belong in the format and redirect the others
  • Prepare the meeting in a few minutes

2The visual board

What the team needs to see in order to decide

  • Select the information displayed and leave out the rest
  • Make gaps and blocking points immediately visible
  • Keep the board up to date without spending time on it
  • Have the team itself populate the board

3Facilitating and closing

Holding the time and leaving with decisions

  • Open the session and restate the running order
  • Redirect a digression without putting the speaker on the defensive
  • Draw out the team's blocking points
  • Assign an owner and a deadline to every item
  • Escalate to the next level whatever goes beyond the team

Who is it for
