Description
Team Assistant: Coordinating, Streamlining and Supporting the Team
Moving from administrative relay to a genuine contributor to collective performance
- 2 days — 14 h
- In-person or virtual
- Foundation
- Up to 6 participants
Team assistants receive requests from several colleagues, none of whom knows what the others have already asked for. Information circulates poorly: some people hear about a deadline too late, while others redo work that has already been completed. The role is experienced as a service counter when it could be a pillar of the team.
Two days to establish a visible contribution to team performance: organising the flow of information, making team routines reliable, supporting project progress and escalating early warning signals. The tools built during the programme transfer directly to each participant's own team.
Learning objectives
- Position your contribution within the team's objectives and deliverables
- Organise the flow of information between team members
- Prepare team routines and produce reliable meeting records
- Track project progress and raise the alarm on deviations
- Keep shared tools alive without adding to everyone's daily workload
What makes this programme different
Programme
1The assistant's contribution to the team
Moving beyond the service-counter mindset
- Connect incoming requests to the team's objectives
- Identify the tasks that benefit from being centralised
- Map the expectations of each team member
- Set request rules that everyone accepts
2Keeping information flowing
The right level of information for each person
- Choose the right channel according to urgency and number of recipients
- Build a clear periodic information update
- Avoid duplicate entry and competing versions
- Archive what must remain accessible to the team
3Making team routines reliable
Meetings that are well prepared and followed through
- Prepare the agenda with the manager and the contributors
- Handle logistics and invitations with nothing overlooked
- Take notes focused on decisions and commitments
- Circulate a record of decisions within a short deadline
4Supporting project progress
Anticipating rather than reporting after the fact
- Maintain a deadline tracker shared across the team
- Follow up with contributors at the right level of persistence
- Spot the signals of a project going off track
- Alert the manager with facts rather than impressions
Who is it for
