Description
Facilities Management: Demonstrating Your Value, Making the Case and Earning Recognition
Give visibility to a function that is only noticed when something goes wrong and defend your decisions with facts
- 2 days — 14 h
- In-person or virtual
- Foundation
- Up to 6 participants
Facilities and workplace teams operate under a particular constraint: their work is invisible as long as everything runs smoothly and becomes highly visible the moment an incident occurs. Requests arrive as emergencies and without prioritisation, budget decisions are imposed rather than negotiated, and the work actually delivered is difficult to convey during reviews with management or building occupants.
Two days to structure the measurement of your activity, build a fact-based and costed case, and present your results to internal stakeholders. Each participant leaves with a tracking dashboard adapted to their scope and a ready-to-use presentation template.
Learning objectives
- Map the services genuinely delivered by your function
- Build tracking indicators that a non-specialist can read
- Frame a decision request supported by facts and costs
- Present your activity review to management and to occupants
- Handle a complaint while preserving the relationship with the requester
What makes this programme different
Programme
1Scope and Service Catalogue
Stating what you actually deliver
- List the services delivered and their beneficiaries
- Distinguish recurring work from one-off requests and emergencies
- Formalise service levels that can realistically be sustained
- Identify services delivered without ever being requested
2Measuring Activity
Figures you can defend
- Select a small number of genuinely useful indicators
- Organise data collection without adding daily workload
- Track requests, response times and incidents
- Reconcile activity levels with expenditure committed
3Making the Case and Managing Trade-Offs
Securing resources and knowing how to say no
- Prepare a request for budget or additional resources
- Quantify the impact of dropping or postponing a service
- Offer several scenarios rather than a single solution
- Decline an out-of-scope request without damaging the relationship
4Occupant Relations and Visibility
Being known without self-promotion
- Communicate on works in progress and on incidents
- Address a recurring complaint at its root cause
- Gather occupant satisfaction feedback
- Build an annual activity presentation
